Steps to Import Products

Common Issues and Solutions

By following this guide, you'll ensure a smooth and successful product import into Planufac!


1. Access the Import/Export Section

  • Log in to Planufac.
  • Navigate to the Import/Export section from the main menu.

2. Download the Product Template

  • Download the Template

    To ensure that you have the correct format and required fields for updating contacts, you can download the template from the link below. This template will provide you with the structure needed to successfully import your updates.

  • Open the template using a spreadsheet program like Microsoft Excel or Google Sheets.

3. Understand the Mandatory and Optional Fields

Mandatory Fields

These fields must be filled in to complete the import process successfully. Ensure each one is accurately filled to avoid errors.

  1. name – The product’s full name, which will be displayed in your catalogue (e.g., "Wireless Headphones Model X").

    type – Defines how the product is categorised and handled in the system. Common values include:

    • group – Used when the product is part of a collection or bundle.
      • grouped – Products that are part of a group. These are individual items or variants (e.g., different sizes or colours) that are attached to a parent product group. For example, a grouped product could be a "Wireless Headphones Model X - Black" that belongs to the "Wireless Headphones Model X" product group.
    • single – For standalone products that are not part of any group.
  2. variant – Specifies a variation of the product if applicable, such as colour, size, or model. For example, different sizes of clothing or various colours of an item (e.g., "Large", "Red"). Leave blank if the product does not have variants.
  3. group – The group name for the product if it is part of a collection or bundle. This allows similar products (such as different variants) to be grouped together under a common name (e.g., "Headphone Series A").
  4. category – The broader classification under which the product falls (e.g., "Electronics", "Clothing", "Home Appliances"). This helps organise your products within the system and for customer browsing.
  5. supplier – The name of the company or vendor that provides the product. This ensures proper tracking of inventory sources (e.g., "Supplier XYZ Ltd").
  6. leadtime_days – The number of days required to receive the product from the supplier after placing an order (e.g., "30" for a 30-day lead time).
  7. brand – The brand or manufacturer of the product (e.g., "Brand XYZ"). This is useful for branding and product identification.
  8. sku – The Stock Keeping Unit, a unique identifier for the product. This is essential for tracking the product in inventory and sales systems (e.g., "SKU-12345").
  9. barcode – The barcode number assigned to the product for scanning and tracking (e.g., "123456789012"). This should match the barcode printed on the product.
  10. stock_unit – Defines the unit used to measure the stock of the product (e.g., "Each", "Box", "Pack"). This is important for inventory management.
  11. weight – The weight of the product, often used for shipping and logistics purposes (e.g., "1.5" for 1.5 kilograms).
  12. weight_unit – The unit of measurement for the product’s weight (e.g., "kg" for kilograms, "g" for grams).
  13. purchase_price – The cost price you pay to purchase the product from your supplier (e.g., "£20"). This is used to calculate margins and profitability.
  14. wholesale_price – The price you charge wholesalers or bulk buyers, typically lower than the retail price (e.g., "£25").
  15. distributor_price – The price you charge distributors if applicable, usually lower than the wholesale or retail price (e.g., "£22").
  16. retail_price – The price at which you sell the product to end customers (e.g., "£30").
  17. width, height, depth – The dimensions of the product in the appropriate units (e.g., centimetres, inches). These measurements are essential for shipping and storage (e.g., width: "10 cm", height: "20 cm", depth: "5 cm").
  18. origin_country – The country where the product was manufactured or sourced (e.g., "United Kingdom").

Optional Fields:

These fields can be left blank if not applicable:

  • description – Product description
  • attribute1, attribute2, attribute3 – Additional product attributes and values
  • sku_additional – Any additional SKU information
  • supplier_sku – Supplier-specific SKU
  • barcode_additional – Secondary barcode
  • asin – Amazon Standard Identification Number (if applicable)
  • part_number, hs_code, bin – Additional product identifiers
  • tags – Product tags for categorisation
  • custom_fields – Any custom fields for the product
  • weee_category_id, weee_battery_category_id – Waste Electrical and Electronic Equipment (WEEE) information
  • contains_battery – Indicate if the product contains a battery
  • taxcode – Applicable tax code
  • moq – Minimum order quantity

4. Save the Completed Template

  • Review all filled fields to ensure correctness.
  • Save the file in the original format (CSV or Excel).

5. Import the Template

  • Return to the Import/Export section in Planufac.
  • Choose the Products option for import.
  • Upload the file you completed and saved.
  • Confirm the import by clicking the Upload button.
