Stock Take in Planufac
This guide will walk you through the process of performing a stock take in Planufac. A stock take allows you to adjust your inventory quantities based on actual stock levels. The following steps outline how to select a location, import products, and adjust inventory values using a stock take.
Important Notes:
- Include or Exclude Picked Orders: Ensure that any picked (but not shipped) orders are either included in your count or wait until no unshipped picked orders exist.
- Accurate Data Entry: If batch details such as batch_expiry and batch_number are relevant for your products, make sure to include them to avoid discrepancies.
- Post-Import Adjustments: After importing the stock take template, you can make final adjustments to inventory counts before confirming the stock take.
Required for a Successful Stock Take
- Use Zeros or empty field for Manual Input: If you want to manually count stock after importing the template, set the quantity to "0" or leave the field empty for the relevant SKUs.
- Choose the Right Time for a Stock Take: Perform a stock take when there are no ongoing production schedules or unshipped picked orders to avoid inventory mismatches.
- Double-Check Batch Information: For perishable or batch-tracked products, verify that the batch details are accurate.
Steps to Perform a Stock Take
1. Access the Stock Take Section
- Log in to Planufac.
- Navigate to Inventory > Stock Take from the main menu.
2. Select the Location
- In the Perform Stock Take screen, you will first need to select a Location from the dropdown menu.
- Ensure you choose the correct location where the stock take is to be performed.
3. Prepare Your Stock Take Template

To ensure that you have the correct format and required fields for updating contacts, you can download the template from the link below. This template will provide you with the structure needed to successfully import your updates.
or Create a Template with the Following Mandatory Fields:
- sku – The SKU (Stock Keeping Unit) of the product (e.g., "MAIN-SKU"). This is a unique identifier used to track and manage inventory for each specific product. Ensuring the correct SKU is used allows the system to update stock levels for the correct product.
- location – The location of the inventory (e.g., "Product Location"). This refers to the specific warehouse or storage area where the stock is kept. Properly tracking the location ensures the system knows where the inventory is physically located. If you manage multiple locations, it is crucial to assign inventory to the right place. These locations can be set up in Settings > Locations.
- quantity – Enter the current quantity of stock you have available for the specific SKU at the location. If you wish to manually input the quantity after importing the template, you can leave this field "0" or empty. This flexibility is useful when you want to conduct a physical stock count after import or adjust quantities manually.
- batch_expiry – The expiry date of the batch (if applicable). This is particularly important for perishable goods or products with a limited shelf life. By tracking batch expiry dates, you can ensure older stock is used or sold first (FIFO method), reducing waste or loss due to expired items.
- batch_number – The batch number (if applicable). This field is important for tracking specific batches of products, which is especially useful in industries where batch traceability is required for quality control or regulatory compliance (e.g., pharmaceuticals, food products).
- cost_per_unit – The cost per unit of the inventory item (e.g., "2.75"). This field captures the cost of each unit being added to stock, providing crucial information for financial tracking, margin calculations, and pricing strategies. It helps maintain accurate financial records by ensuring that stock values are properly reflected in the system.
4. Upload the Stock Take Template
- Click the Import Products button to upload your completed template file.
- The system will process the data and prepare it for mass stock adjustment.
5. Adjust Inventory Quantities
- If you entered 0 or left the field empty in the quantity field, you can now manually input the actual stock quantity during the stock take.
- This allows you to perform an accurate adjustment of the inventory levels based on real-time counts.
