Steps to Update Products

1. Access the Import/Export Section

  • Log in to Planufac and navigate to Import/Export in the main menu.

  • Key Fact: Updating products differs from importing new products. The "Update Data" option is specifically designed to modify details of existing products in bulk.

2. Create Product Update Template

  • Click Download Templates to obtain the latest templates or create a new blank template in excel.
  • Key Fact: Using the correct template is crucial to avoid format errors during upload. The template ensures compatibility with Planufac’s system requirements.

3. Template Structure

      • name: Update the product name as displayed in your catalogue for better visibility.
      • type: Adjust the product type if needed, such as "single," "group," or "grouped," to ensure accurate categorisation.
      • variant: Specify any variations, such as size or colour, to distinguish this product.
      • category: Refine the product’s category for improved classification and discoverability.
      • supplier: Update the supplier’s name to assist with inventory tracking and sourcing.
      • purchase_price: Enter the latest purchase price to maintain accurate cost records.
      • wholesale_price: Adjust the wholesale price to reflect current trade rates.
      • retail_price: Modify the retail price to stay in line with market rates.
      • stock_unit: Define or update the measurement unit (e.g., "Each") for inventory consistency.
  • Key Fact: The fields above are examples of common updates. Only include columns for data you wish to update—unnecessary columns can be left out to simplify the process.

4. Optional Fields

  • You can include additional fields as needed. These fields are not mandatory but allow for detailed product updates:
    • description: Provide an updated description of the product.
    • tags: Useful for filtering and categorising products.
    • custom_fields: Include any custom data relevant to your business needs.
  • Key Fact: Optional fields are useful for adding specific attributes or details to products but can be omitted if not relevant.

5. Save the Completed File

  • Review your data entries for accuracy, as any errors may cause the upload to fail.
  • Save the file in the required format (CSV or Excel) to ensure compatibility with Planufac’s import tool.
  • Key Fact: Saving in the correct format is essential. CSV files are preferred for bulk data uploads as they reduce formatting issues.

6. Upload the Updated File

  • Return to the Update Data section in the Import/Export page.
  • Click Browse to select the completed file from your device.
  • Press Upload to initiate the data update process.
  • Planufac will confirm the success of your upload, and your product data will be updated accordingly.
  • Key Fact: After uploading, check for confirmation from Planufac. If any issues occur, an error message may highlight missing fields or format inconsistencies.

Troubleshooting Common Issues

  • Missing SKU: The SKU field must be filled for each product. Missing SKUs will prevent Planufac from matching updates to existing products.
  • Incorrect Data Formats: Ensure that data types align with Planufac requirements (e.g., numerical values for prices, text for product names).
  • Duplicate SKUs: Confirm that each SKU in the file is unique to avoid overwriting errors or product mismatches.
